World Vision - Moldova Office is looking for a highly qualified and motivated person for the position of Field Assistant _Cash Monitor-1 – Moldova.
JOB PURPOSE
 
World Vision is looking for a passionate, organized, creative and proactive Filed Assistant (reporting) to join our team. The Field assistant will be responsible leading the field-based Information Management and Reporting systems, databases, tools and products. She/he ensures that the relevant operational and contextual information from internal and external sources are corrected, centralized, analyzed, submitted/distributed in a timely manager to the relevant stakeholders. She/he will equip the team in making timely, evidence-based decisions as well as support multiple other departments in the tracking, monitoring, and reporting of 5W impact data of interconnected humanitarian responses in Moldova. The position demands strong experience in data management computer skills, regular consultation with and reporting to other departments in the response office, especially operational and technical sector specialists. Strong candidates for this position can focus on consuming the multitude of incoming information in a humanitarian context – analyzing this data, synthesizing and reporting it in a usable format for response leadership. Field assistant must be ensuring compliance to Donors and World Vision requirements /guidelines and uphold commitment to beneficiary data, entitlement and safeguarding and should communicate World Vision’s ethos and demonstrate a quality of spiritual life that is an example to others. 
 
MAJOR RESPONSIBILITIES
Information Management and Knowledge Management
1- Maintain an organized and chronological information management system, which is easy to access at any time
according to the country retention policy 
2- Field visits (as needed) to assist in documentation and accountability
3- Design and implement the Office Information Management structure for internal and external information
sharing within the humanitarian and wider community 
4- Develop a clear information management and reporting flow chart and schedule for WV staff, especially with
operations and sector teams
5- If required, maintain a comprehensive commodity tracking system as to ensure that all commodities (cash,
voucher, food & NFIs, and other services) are properly distributed and accounted for to WV Partnership and donor
standards
6- Supporting the team in LMMS pilot
 
Reporting and Data Analytics
1- Preparation of inputs for and sharing of Situation Reports (Sit Reps), UNHCR Inter-Agency regular reports as needed or required by the internal and external stakeholders
2- Ensure that the required periodic reports are accurate, complete, and submitted on time to the relevant
consumers
3- Liaise with Field Office’s (FO) Program officers, Finance team, GAM, for timely, precise, and complete reports of high data quality 
4- Monitor monthly status of reports by grants/project and coordinate to operations if reports are not submitted on a timely manner or under/over performing
5- Support in developing reporting templates for partners, or reports for the response and ensuring that data are up to date
6- When requested, compile and analyze internal and external data to support the development of the strategy in a humanitarian response 
7- Incorporate privacy protection of beneficiary information in line with WV or donor data protection policies and  procedures
 
Coordination, Collaboration and Compliance
1- Actively participate in the Information Management working groups wherever it is 
2- Active member of the HIRO Community of Competence (COC)/ Information Management working group and active in a country of operation or in the response
3- Coordinate with the project manager and the finance department on financial reporting 
4- Share information (including analysis) with internal and external stakeholders on a regular basis to meet their information requirements
5- Implement training on forms and systems for field-staff to ensure adherence to WVI’s standards in Aid Delivery Management and Reporting and have adequate Information Management systems coverage
6- Ensure that all commodity losses and claims procedures comply with the World Vision Partnership and donor requirements
 
Capacity Development:
Work closely with the team leader to discuss capacity-building opportunities and put a capacity building plan to ensure competency levels which allow the team to do their work accordingly.
